Designed workflow

The designed workflow

This is the workflow Bobby Receipts is being designed around. It is a design sequence, not a demonstration of a working product — none of these steps can be performed today.

  1. Step 1: Upload

    Add receipts and incoming documents privately from your device. Email and storage sources are planned for later.

  2. Step 2: Extract

    Structured details — supplier, date, totals, tax where detectable, currency — are intended to be read from the document for you to check.

  3. Step 3: Categorize

    Simple categories for personal use, or ledger-account mapping for companies. Suggestions are designed to be proposals, never decisions.

  4. Step 4: Review

    Confirm or correct what was read. A person always has the last word on every field.

  5. Step 5: Approve

    Where a workspace enables approval, documents move through one or more approval levels with a recorded history.

  6. Step 6: Export

    Hand the organized, reviewed set to bookkeeping or export it. Provider integrations are planned, not built.

    Give a small team one shared place for incoming receipts and supplier documents, with categories that match how the company actually books costs.

  • Finance teams

    Configurable multi-level approval, clear review state per document, and a recorded approval history — designed for teams that need control before anything is paid or booked.

  • Accountants and bookkeeping collaborators

    Receive a reviewed, categorized, complete set for a period instead of a folder of images. Bobby Receipts organizes documents; it does not provide accounting or tax advice.

Approval

Approval, only where you want it

  • Approval is designed to be optional: a workspace enables it in settings, and personal workspaces can leave it off entirely.

  • Multiple approval levels are planned, so a document can require more than one person before it is considered complete.

  • Where workspace policy requires it, a document must be categorized before its approval can be completed.

  • Approval records a decision by the people in your workspace. It does not mean Bobby Receipts guarantees that a document is correct, payable or compliant.

Categorization

Categories that match how you work

  • Personal and freelance workspaces are designed around plain categories — groceries, travel, software — with no ledger vocabulary.

  • Company workspaces are designed to map documents to ledger accounts, so the export matches how the books are actually kept.

  • Suggested categories and extracted fields are intended to be proposals that require human review before they count.

  • AI-assisted suggestions are never presented as authoritative accounting, tax or compliance decisions.

What Bobby Receipts covers

Incoming documents

  • Incoming receipts you collect as you spend.

  • Incoming invoices from suppliers, uploaded by you.

  • Copies of your own outgoing invoices, which you may later upload here purely so a period is complete in one place.

Outgoing invoices belong elsewhere

  • Bobby Receipts does not create, issue or send outgoing invoices.

  • Outgoing invoicing belongs to Bobby Invoice (bobbyinvoice.com), a separate product.

  • Automatic retrieval of your outgoing invoices from Bobby Invoice is a future integration. It does not exist today.

Nothing on this list is connected. No provider connection can be authorized from this site, and no account is linked to Bobby Receipts.

  • Private upload

    Initial direction

    Manual upload of receipts and incoming documents into platform-managed storage is the first intended way documents arrive. It is being built; it is not usable yet.

  • Gmail

    Coming soon

    Bringing receipts in from a mailbox is planned. No mailbox connection exists and none can be authorized here.

  • Outlook

    Coming soon

    Mailbox capture for Outlook is planned on the same footing as Gmail.

  • Google Drive

    Coming soon

    Reading documents you already keep in Drive is planned.

  • Workspace-owned storage

    Coming soon

    Connecting a workspace's own storage location, rather than only platform-managed storage, is planned.

    Pulling copies of your outgoing invoices from Bobby Invoice is a future integration between the two products.

    Programmatic access for teams and agents is a later platform capability. Nothing is published or callable today.
